How to sync class schedules to Outlook, Teams and Google Calendar
How colleges and universities can put every student's and instructor's class schedule from the SIS into Outlook, Teams and Google Calendar, and keep it current.
Calendo takes every class from your student information system and puts it in the calendar students and instructors already use: Outlook, Microsoft Teams, Google Calendar, Moodle or Blackboard.
Your student information system (SIS) stays the source of truth. Calendo works with the major SIS and ERP platforms, plus custom, in-house systems, and does three things:
How Calendo connects to your SIS is explained on the SIS integration page. Wondering why not just publish an ICS feed? See ICS feed vs calendar sync.
The Teams calendar shows the same Microsoft 365 calendar as Outlook. Each class Calendo writes to a student's or instructor's calendar appears in Teams at the same time, with the room and, when there is one, the Teams meeting link.
Every student and instructor finds their classes in their Outlook calendar, on Exchange Online (Microsoft 365). Because Teams reads the same calendar, everything on this page about Outlook applies to Teams too.
For institutions on Google Workspace for Education, Calendo puts each class in every student's and instructor's own Google Calendar.
Students open Moodle for course content, assignments and grades. Calendo puts their class schedule in the Moodle calendar too, right next to the coursework, and instructors see their teaching schedule where they post activities and review submissions. Moodle stays your LMS: Calendo only keeps its calendar matched to the SIS.
The same goes for Blackboard Learn, in the Original and Ultra experiences. Calendo puts the class schedule in the Blackboard calendar, where students already find their course materials, and instructors see their teaching schedule where they post assignments and grade work. Blackboard stays your LMS.
Both. The Teams calendar shows the same Microsoft 365 calendar as Outlook, so each class Calendo writes appears in Outlook and in Teams at once, and any later change applies to both.
No. Classes go on each person's own calendar and are kept apart from Teams channel meetings. Each class has one event and one set of reminders.
Yes. When the schedule changes, Calendo updates only what comes from the SIS: the time, the room and the format. Notes, attachments and color categories that instructors add stay in place.
Yes. If some people use Microsoft 365 and others Google Workspace, or an instructor uses both, Calendo writes each class to both platforms and keeps the two copies in step when the SIS changes.
For Microsoft 365, permission to read and write users' calendars through Microsoft Graph, approved once by an administrator during setup. For Google Workspace for Education, the Google Calendar scope only, through a service account your administrator approves once. It cannot read mail, Drive files or other Workspace data.
Exchange Online (Microsoft 365) is the supported deployment. On-premises Exchange is looked at case by case: contact us with your environment.
No. Calendo is not an LMS. It doesn't create courses or manage enrolments; Moodle and Blackboard keep doing that. Calendo puts the class schedule in their calendar and keeps it matched to the SIS.
Moodle 4.x, through the Moodle Web Services API; earlier versions are looked at case by case. Blackboard Learn, in the Original and Ultra experiences, through its supported REST APIs. Integration details are confirmed at the start of each project.
